FAQs

Q: When and where is the 2025 CSL IGNITE Conference taking place and how do I reserve a room? 

A: The conference is scheduled for October 1st-3rd, 2025, at the Omni Richmond Hotel in Richmond, VA. The location is 100 South 12th Street, Richmond, Virginia 23219. The phone number is (804) 344-7000. All sponsor and exhibitor individual reservations must be received by September 9, 2025, in order to guarantee the negotiated group rate ($179 per night plus taxes and fees). Q: What are the setup and breakdown times for the Vendor Trade Show? 

A: Vendor setup is from 11:00 AM to 2:00 PM on October 1st. The trade show runs from 2:00 PM to 4:30 PM. Breakdown should be completed by 5:30 PM the same day.

Q: What is included in my vendor booth package? 

A: Each booth includes a 6-foot table, tablecloth, and two chairs. Basic electrical access can be provided with prior request. Additional equipment or services can be arranged for a fee.

Q: As a vendor partner, what if I need additional audiovisual equipment or technical support for my booth? 

A: If you have specific audiovisual or technical needs for your booth, please email Amzi Jackson at amzi.jackson@pinnaclelive.com. We recommend reaching out to this contact well in advance of the conference to ensure your needs can be accommodated.

Q: How many attendees are expected at the conference? 

A: We anticipate approximately 120 CSL attendees. This includes Executive Leadership, Regional Managers, Regional Property Managers, District Service Managers, Community Managers, and Service Managers.

Q: Are vendors invited to attend the Wednesday evening themed dinner and networking party? 

A: All vendors that sponsored with a Platinum level or higher ($5,000 or greater) have access to attend this event (up to two tickets).

Q: Are vendors invited to attend the VIP Cocktail Reception on Thursday? 

A: All vendors that sponsored with a Diamond level or higher ($7,500 or greater) have access to attend this event (up to two tickets).

Q: Are vendors invited to attend the CSL Awards Ceremony on Thursday? 

A: All vendors that sponsored with an Executive level ($10,000 or greater) have access to attend this event (up to four tickets).

Q: Are vendors allowed to purchase tickets to the themed dinner or the CSL Awards Ceremony? 

A: Yes, tickets are available for purchase; please email cslignite@capitalsquareliving.com for details.

Q: Are vendors invited to attend the educational sessions? 

A: The educational sessions are reserved for CSL team members. However, Executive Sponsors are welcome to attend the Awards Ceremony, VIP Cocktail Reception, Wednesday night themed dinner, and our Keynote speaker event. Diamond Sponsors are welcome to attend the Thursday breakfast, keynote session, VIP Cocktail Reception, and Wednesday night themed dinner. Platinum Sponsors are welcome to attend Wednesday night themed dinner.

Q: Is there a dress code for vendors? 

A: Business casual attire is recommended for the Trade Show. Executive, Diamond, and Platinum Sponsors attending Wednesday and/or Thursday evening events are encouraged to wear business formal or cocktail attire for these events.

Q: How can I ship materials to the conference venue? 

A: Please carefully review the following guidelines for shipping materials to the Omni Richmond Hotel for the CSL IGNITE Conference:

  • Timing: The hotel can accept packages no earlier than 48-72 hours before the event start date due to limited storage capacity. For our conference beginning on Wednesday, October 1st, 2025, the earliest shipping date would be Sunday, September 28th, 2025.
  • Addressing: All packages must be clearly marked with your company name and the conference name.
  • Handling Charges: Please note that there are handling and receiving charges from the Omni for which you will be responsible.
  • Return Shipping: If you need to ship materials back after the conference:
    • You are responsible for providing all packing materials.
    • Ensure boxes are properly taped and labeled.
    • Schedule a pickup with your preferred carrier.
  • CRITICAL UPDATE: SHIPPING PAYMENT POLICY While the hotel’s shipping form states that costs will be posted to the group master account, this is NOT the case for Ignite 2025. All shipping and handling charges are your individual responsibility as the vendor.
  • Payment Options:
    • Online Payment Links – The hotel will generate payment links for you to submit payment prior to your arrival
    • Room Billing (Recommended) – If you’re staying at the Omni Richmond Hotel, S&H charges can be billed directly to your room
  • MANDATORY REQUIREMENTS – PLEASE READ CAREFULLY:
    • SHIPPING FORM REQUIRED You MUST complete and submit the hotel’s shipping form once you generate tracking information. Packages will NOT be released until:

Q: Will there be opportunities for vendors to network with attendees outside of the Trade Show? 

A: Yes, vendors will have access to various events based upon sponsorship levels, providing additional networking opportunities. The Wednesday evening cocktail hour (5:30 PM – 6:30 PM) and themed dinner (6:30 PM – 9:30 PM) will be excellent opportunities to connect with CSL team members in a more relaxed setting.

Q: Is there parking available at the Omni Richmond Hotel? 

A: Yes, the Omni Richmond Hotel offers valet parking. This service is available Sunday – Thursday 7 AM – 11 PM and Friday & Saturday for 24 hours. The rates are

  • 0-4 hours: $20
  • 4-8 hours: $38
  • Overnight Guests: $40
  • Oversized Vehicles: $42
  • Self-parking is also available at the nearby James Center (no in/out privileges) for $25 per day.

Q: Are there on-site dining options at the hotel? 

A: Yes, the Omni Richmond Hotel offers several dining options:

  • Westham Tavern: Offering locally inspired small plates, entrees, and craft cocktails
  • Westham Porch: Featuring fresh, locally-sourced ingredients
  • Starbucks: Located in the hotel lobby (Mon-Fri 6AM-4PM, Sat-Sun 7AM-2PM)

Q: Do I need to make dining reservations? 

A: To ensure an excellent dining experience, we strongly recommend making reservations in advance, especially if you plan to dine during peak hours or with a large group. The hotel restaurants may have limited availability during conference hours, so planning ahead is advisable.

Q: How can vendors maximize their exposure during the conference? 

A: Consider the following strategies to maximize your exposure:

  • Offer a raffle or giveaway at your booth
  • Create an interactive or engaging booth experience
  • Prepare concise, engaging presentations about your products or services
  • Actively participate in networking events
  • Bring business cards and promotional materials
  • Follow up with contacts after the conference

Q: How do I register as a vendor for the conference?
